Overview

UNDP is recruiting an Administrative and Finance Assistant at the G5 level for its Representation Office in Germany, based in Berlin. The office supports UNDP's relations with Germany and builds strategic relationships with German institutions and other partners. The post is full time and fixed term for one year, with the possibility of extension, and requires no mobility. The assistant works under the direct supervision of the Director and has no supervisory responsibilities.

Who can apply

The vacancy is open to UNDP, UNCDF and UNV staff on permanent or fixed-term appointments of any nationality. Other applicants must be nationals of an EU Member State, Iceland, Liechtenstein, Norway or Switzerland.

Requirements

Applicants need either secondary education with at least five years of progressively responsible administrative experience, or a university degree with at least two years of relevant experience. Experience with Microsoft Word and Excel is required, along with advanced knowledge of automated procurement systems, spreadsheets and databases, and experience in project management, procurement and finance. UN or UNDP experience is a strong asset and familiarity with Quantum is desirable. Fluent English and German, spoken and written, are required.

The role calls for attention to detail, sound judgment, organization, adaptability, problem-solving and relationship building, along with technical competencies such as records management, travel entitlements, event management, contract management, accounting, client management and systems thinking.

On the administrative side, the assistant manages the Director's schedule and travel, prepares documents for meetings and missions, and supports workshops, consultant recruitment, contracts, filing, deadlines, leave records and office inventory. On the finance side, they support budget revisions, monitoring and reconciliation, generate expenditure reports, review variances, prepare requisitions and receipts, check fund availability, prepare payment invoices, support VAT payments and reimbursements, track donor agreements and contributions, and help with donor reporting, year-end activities, project closures and project creation in Quantum. For procurement, they help secure supplies and venues on time, prepare submissions, draft standard contractual documents and support service-provider contracts, supplier registration, audits and compliance with UNDP procedures.
