Overview
UN Women, the United Nations organization dedicated to gender equality and the empowerment of women, is recruiting an Administrative Associate for its Eastern and Southern Africa Regional Office (ESARO) in Nairobi, Kenya. The post is full-time, at National Personnel Service Agreement level NPSA-6, with an initial contract of six months. The Administrative Associate reports to the Deputy Regional Director and works closely with programme teams, operations staff and the Regional Director's Office.
The job combines several strands of support. On the administrative side it covers organising meetings, workshops, missions and events, coordinating logistics and finances, managing supplies and confidential electronic files, and keeping the Deputy Regional Director's calendar. Programme support includes helping with work plans and budgets, preparing briefing notes, compiling information for reports, supporting audits and processing requisitions and goods receipts in enterprise resource planning systems.
The post also handles official travel arrangements, from authorisations and bookings to claims and expense monitoring, assists with procurement steps such as requests for quotations, invitations to bid and tender openings, and contributes to knowledge management by documenting lessons learned and best practices.
Requirements
Applicants need either completed secondary education with at least six years of progressively responsible administrative or programme support experience, or a bachelor's degree in business administration, development studies, gender studies or a related field with at least three years of relevant experience. A university degree is an advantage but not mandatory when the experience requirement is met.
Candidates should show experience in administrative and programme support, office coordination, event management, travel administration, procurement support, budget administration, report preparation and document management. Experience with Oracle Cloud or similar web-based ERP platforms is highly desirable.
