Overview

The International Centre for Settlement of Investment Disputes (ICSID), part of the World Bank Group, is hiring a Senior Conference Assistant in Washington, DC. The post is Grade GD with a 3-year term appointment, job number req38041. ICSID is the World Bank Group institution that specializes in international investment dispute settlement, administering cases and supporting hearings, deliberations, conferences and training programs across countries and time zones.

What the role involves

The assistant independently coordinates logistics and administration for hearings, sessions, deliberations, conferences, seminars, meetings and training programs, often handling several events at once. Tasks include scheduling in-person, virtual and hybrid proceedings, running virtual test sessions, preparing timelines, coordinating hearing and breakout rooms, and arranging catering, interpretation, court reporting, audiovisual services, security and building access, in Washington, DC and elsewhere.

The assistant also works with vendors by reviewing proposals and cost estimates, keeping vendor records, supporting procurement, tracking expenditures and purchase orders and following up on invoices. They maintain hearing calendars, trackers and planning databases, tell stakeholders about schedule changes, and may help test and document new digital or automated systems for hearing administration. Evening, weekend and holiday work may be needed.

Requirements

Applicants need a bachelor's degree and at least five years of relevant experience, or an equivalent combination, in areas such as conference management, event planning, hearing administration, operations or hospitality. Experience coordinating complex events with many stakeholders and supporting virtual and hybrid events is expected. English is required; French or Spanish is preferred. Strong organizational, communication, interpersonal and Microsoft Office skills are needed, and international organization experience is desirable.
