Overview
The Rockefeller Foundation is seeking an Executive Assistant & Team Coordinator for its Food team in Nairobi, Kenya. The role combines high-level executive support for the Vice President and Directors with contributions to programme operations, grant management, research and knowledge development. The Food team works toward more nourishing, regenerative and equitable food systems and operates in a fast-paced global environment.
On the executive side, the coordinator manages calendars, meetings and deadlines, arranges domestic and international travel and itineraries, organises meetings and convenings, prepares agendas, briefing materials and presentations, handles audiovisual and logistics needs, prepares reports and talking points, manages expense reports and vendor invoices, processes purchase requisitions, maintains partner and grantee information and keeps filing systems such as SharePoint and Salesforce. On the programme side, the coordinator tracks grants and contracts and deliverables, may help research potential grantees, prepare grant memoranda, support site visits, review grantee reports, track trends, contribute to knowledge products and issue briefs, support internal communications and quarterly reviews, and sometimes represent the Foundation at meetings.
Requirements
A Bachelor's degree in business administration or a related field is preferred. Applicants need at least five years of executive-level administrative experience supporting a senior executive leader, and experience working in Africa is expected. Experience in agriculture, food systems or a related sector is particularly desirable, as is experience in private-sector development, supply chain management, agribusiness, impact investing, development finance or grant-making. Strong organisation, project management, discretion with confidential matters, written and verbal communication, and proficiency in Word, Excel and PowerPoint are needed, along with the ability to learn new systems quickly. SharePoint and Salesforce experience is relevant.
