Overview

UNDP is hiring an Executive Associate in Madrid, Spain, for the Front Office of its Bureau for Policy and Programme Support (BPPS). The post is full-time, at G7 level, on a fixed-term appointment of two years with a possibility of extension. BPPS develops policy and guidance supporting UNDP's Strategic Plan and offers technical advice, advocacy, coordination and programme support across the organization.

UNDP is opening a new office in Madrid, and the BPPS Deputy Director and several BPPS teams are relocating there during 2026. The Executive Associate reports to the Deputy Director and helps the new office get established and coordinate with BPPS locations in New York and Bonn.

What you do

Responsibilities include managing the Deputy Director's calendar, organizing meetings and high-level events, applying protocol, coordinating missions and travel, tracking deadlines, processing payment requests and claims, and handling DocuSign approvals. The role also covers reviewing and drafting correspondence, keeping confidential files, serving as meeting secretary, and liaising with Spanish counterparts such as ministry officials and other UN agencies.

The associate supports relationships with ambassadors, donor delegations, parliamentarians, senior officials and partners, prepares background for briefings and talking points, and supports town halls, retreats and workshops. In Madrid, the role works on office management, inventory, IT and meeting facilities and helps relocating colleagues with registrations such as the TIE foreign identification card and UN Grounds Pass.

Requirements

Candidates with secondary education need specialized secretarial training and seven years of progressively responsible administrative or programme experience. Those with a bachelor's degree need four years, although a degree is not required. Relevant degrees are Business or Public Administration, Economics, Political Science and Social Sciences. Required experience includes Word and Excel, spreadsheets and databases, web-based management systems, ERP systems such as Quantum, event logistics, travel arrangements and office management.

Front Office experience, knowledge of Spanish administrative procedures and work with international organizations are desirable. Fluency in English and Spanish is required, and another official UN language is an asset.
