Overview

Save the Children is recruiting an Administration Coordinator for a full-time post in Kinshasa, Democratic Republic of the Congo (DRC). This is a senior business support role that coordinates administrative functions across the organisation's operations in the country and ensures compliance with applicable laws, regulations, policies and international NGO standards. The coordinator works under the HR and Administration Director, directly supervises administration of the Kinshasa office and gives technical support to field offices. During a major humanitarian emergency, they may be asked to work outside normal duties or adjust their hours.

Who can apply

Applicants need a bachelor's degree in Administration, Law, Economics or a related field, with additional training in administrative management within international NGOs an advantage. They need at least five years of progressive administrative experience, including at least three years in a supervisory or coordination role in an international NGO or similar organisation. Experience coordinating administration across several offices, managing relationships with government authorities, monitoring legal obligations and handling leases, insurance, service contracts, travel, protocol and visitors is relevant, and a strong understanding of the legal framework for international NGOs in the DRC is required.

Requirements

The role calls for planning, organisation, coordination and problem-solving skills, and the ability to supervise teams remotely. Microsoft 365 proficiency is required, along with excellent written and spoken French and good professional English. Duties include obtaining and renewing authorisations, registrations and approvals, maintaining relationships with government authorities and working with legal advisers where needed. The coordinator harmonises administrative policies and tools across offices, oversees Kinshasa office administration, residences and assets, and follows up on leases, insurance and contracts. They coordinate staff and visitor travel, protocol, official visits and events, support field managers during induction, prepare an annual calendar of administrative obligations and present findings and risks to management.

Safeguarding is a key part of the role. The coordinator reports allegations and suspected cases under local procedures, may take part in investigations when instructed by the Country Director, supports safeguarding training for partners, temporary workers, volunteers and suppliers, and builds safeguarding and modern slavery requirements into supplier selection and contracts.
