Overview

The International Federation of Red Cross and Red Crescent Societies (IFRC) is recruiting an Officer, Administration for its Americas Regional Office in Panama. The post is a 12-month national contract. The officer provides specialised administrative and operational support, helping keep standards of organisation, compliance, cost-effectiveness and customer service high so that IFRC programmes and activities across the region run smoothly. Work follows IFRC's standardised administration guidelines, policies and procedures.

Who can apply

Applicants should hold a degree or diploma in Social Sciences, Business Administration or a related field. A postgraduate qualification or MBA is an advantage, as is training related to the Red Cross and Red Crescent Movement, humanitarian and development work or management.

Candidates need at least four years of experience in a similar role, including at least three years in administrative, assistant or secretarial support and at least two years in a multicultural environment. At least two years of experience within the International Federation is required. Experience with a Red Cross or Red Crescent National Society is preferred, and three or more years in the Americas Region can be an advantage.

Requirements

The officer needs strong interpersonal and teamwork skills, flexibility, integrity, discretion, confidentiality, judgement, initiative and organisation. They should be able to prioritise competing tasks, meet deadlines, stay calm under pressure and work accurately, and have good computer skills in word processing, spreadsheets, email and internet applications. Fluent spoken and written English and Spanish are required. French or another language relevant to the region, such as Portuguese, is an advantage. Travel to other countries may be needed.

Duties cover general office services such as purchasing, events, reception and review of procedures, with backup support to the Regional Director's Office administrator when needed. The officer coordinates meetings, workshops and regional events, including interpretation, facilities, equipment, audiovisual services, catering, visas, flights, transport and accommodation, and keeps a public calendar of major events. They support administrative procurement, including Framework Agreements with hotels, travel agencies and interpreters, and housing services for delegates, covering rental contracts, lease renewals, housing payments and warranty deposits. They also manage the accounts payable cycle for departmental activities and building maintenance, correcting discrepancies and following up until issues are resolved.
