Overview
Abjad Educational Initiative is recruiting an Operations Coordinator to support the Operations Manager with daily workflows, HR administration, procurement systems, documentation and coordination across departments. The organisation designs and delivers educational initiatives for displaced children and youth, focusing on knowledge, awareness, sustainable livelihoods, social integration and community development through education, guided by values of equality, integrity, sustainability, inclusiveness and innovation. The role suits people with experience in operations, human resources, procurement or administration, ideally in the nonprofit or NGO sector.
What the role involves
The coordinator oversees daily operational workflows, tracks tasks, deadlines and management decisions, spots workflow gaps and bottlenecks, and improves processes between departments. They develop and update operational manuals, standard operating procedures, policies and templates. On the HR side they maintain employee records and the central HR database, coordinate recruitment, onboarding, leave, attendance and offboarding, prepare monthly payroll and wage documentation with Finance and Management, support performance management and organise training logistics. On procurement they support routine purchasing, build policies and tools, manage tenders and requests for quotations, support vendor negotiations and contracts, and keep supplier databases and vendor reviews. They also keep secure physical and digital archives, prepare meeting minutes and produce reports and dashboards.
Requirements
Applicants need a bachelor's degree in business administration, human resources, management, logistics, economics or a related field, and at least three years of experience in operations, HR or procurement. Experience across more than one of these areas in the nonprofit or NGO sector is highly preferred. Proven experience in market analysis, tender evaluation, supplier negotiation and contract management is expected, along with understanding of HR administration and labour compliance and advanced Microsoft Office skills, especially Excel. Strong organisation, time management, analytical and problem-solving skills are needed, along with excellent communication and a high degree of confidentiality and integrity.
