What the role involves

In human resources, the assistant initiates, reviews and follows up on actions covering recruitment of staff and consultants, placements, promotions, performance appraisals, job classification reviews and separations, keeps vacancy files and staffing tables up to date and prepares statistics and charts for management.

In budget and finance, the assistant helps prepare and review financial and human resource proposals that draw on Headquarters budgets, trust funds, grants and procurement plans, monitors expenditure against approved budgets, flags variances and prepares adjustments or reports.

General administration includes drafting routine correspondence, liaising with service units and colleagues at Headquarters and in field offices, managing travel, vendor and contractor payments, space planning, office equipment needs, and logistics for seminars, conferences and translation. The assistant may also guide and supervise junior General Service staff. Contract administration covers checking contractor invoices against purchase orders, and the assistant also processes UN credentials such as grounds passes, parking permits and access cards, and prepares data analyses, presentations and updates to information materials.

Requirements

A high school diploma or equivalent is required, along with specialized training or coursework in accounting, finance, business administration or public administration. Seven years of progressively responsible experience in administrative services, human resources, general office support, finance, accounting or a related field is needed, reduced to five years for holders of a bachelor's degree or higher.
